The brief and the discovery call
You send the event’s objective, audience, approximate date and expected attendance, and we review it with you in a short call.
The written proposal
Scope of work, timeline, cost and the role of each party, in writing, before any commitment.
The agreement and delivery
The organising agreement is signed, and one coordinator handles the venue, speakers, registration, guests and suppliers until the event closes.
After the event
A closing report on what was delivered. With your institution’s consent, we list the event among the council’s events.

What is the difference between council conferences and organising an event for your institution?
Council conferences are events the council takes part in organising, open to registrations of interest from attendees, speakers and delegations. Organising an event for your institution is a service your institution commissions from us: the event carries its name and serves its objectives, and we handle planning, delivery and support services within a written scope.
How do I take part in a council conference, on my own or with a delegation?
Choose “Taking part in a council conference” or “A participating delegation programme” in the request form, and the invitation and participation details follow when registration opens. A delegation receives a written proposal of what its programme covers in participation, accommodation, transport and visa application support, and your commitment begins when you accept it. Where the council is a partner in a conference organised by another body, registration is with that organiser.
Can I speak at a council conference or present a research paper?
Yes, through the call for speakers and papers announced with each conference when it opens. Register your interest and state your topic. Those responsible for the conference programme choose the speakers on the programme’s criteria alone, independently of any package or other council service.
Does the service cover visas, accommodation and transport?
Yes. We coordinate visa application support, accommodation, airport transfers and interpretation, within the scope of the event or on their own. We help identify the requirements and prepare the files; the decision to grant a visa, and its processing time, rest with the competent authorities alone.
How is the cost of organising an event set?
The cost is set for each event individually, once we understand the objective, the expected attendance, the number of days, the venue and the services required. After the discovery call you receive a written proposal setting out the scope, timeline and cost, and the commitment begins when the organising agreement is signed.
Are sponsorship or exhibition stands available at council conferences?
Sponsorship, exhibition stands and paid tickets are offered for each conference once formally announced, and you can register your interest to hear what is announced. Official patronage, the attendance of officials and agreements are decided by their parties alone: the patron, those invited and the parties to each agreement. Honours, signings and official patronage are never sold in any package.
